Capabilities
The shared taxonomy of 53 capabilities in 11 categories we use to assess clinical research data-management products, organized the way our product research is organized. Each page defines the capability, explains why it matters, and shows which researched products support it — with sources and verification dates.
Administration & Technology
- Multi-site management Administering sites, site staff, roles, and access across a multi-site study.
- Multi-study management Running many studies on one installation with shared libraries, users, and oversight.
- Database lock Freezing and locking data at the form, visit, participant, and study level, with controlled unlock.
- Archiving and retention Producing the end-of-study archive — final data, metadata, audit trail, site copies — and meeting retention requirements.
- Training tracking Tracking that site and study staff completed required system and protocol training before access.
- Accessibility Support for assistive technologies and accessibility standards, for both staff and participant-facing interfaces.
- AI-assisted functions AI-assisted functionality such as query suggestion, coding assistance, or anomaly detection, where offered.
Compliance & Security
- Audit trails Recording who changed what, when, and why — the record 21 CFR Part 11 and GCP inspections rely on.
- Electronic signatures Part 11-compliant signatures for investigator approval, casebook sign-off, and controlled documents.
- Role-based permissions Controlling who can see and do what, by role, site, and study.
- Data de-identification Removing or transforming identifiers so data can be shared or analyzed with reduced privacy risk.
- Data provenance Tracing where each value came from — source, transformations, and versions — across the data lifecycle.
- Security controls Security capabilities such as encryption, MFA, single sign-on, and session controls.
- Validation documentation Vendor-supplied validation packages and change control supporting a compliant, documented system lifecycle.
Data Capture
- Electronic data capture Site-based entry of participant data into electronic case report forms, replacing paper CRFs.
- Participant-reported outcomes Patient- and clinician-reported outcomes captured electronically (ePRO/eCOA), on provisioned devices or participants' own.
- Mobile and offline collection Capturing data from phones and tablets, including offline entry where connectivity is poor.
- Laboratory data Loading central and local laboratory results with units, reference ranges, and out-of-range flagging.
- Imaging and device data Ingesting data from imaging systems, medical devices, wearables, and sensors used in the study.
- EHR integration Pulling data from electronic health records into the research dataset, including FHIR-based approaches.
- Multilingual studies Running studies in multiple languages: translated forms, participant materials, and locale handling.
Data Quality & Monitoring
- Data validation Systematic checks that entered data is complete, consistent, and plausible, beyond individual edit checks.
- Query management Raising, tracking, answering, and closing data queries with sites, manually and from edit checks.
- Source-data review Supporting source data verification and review workflows, including targeted and risk-based approaches.
- Monitoring support Working views for monitors: entry status, outstanding queries, visit completion, and remote monitoring access.
- Data reconciliation Comparing study data against third-party data (labs, safety systems, IRT) and resolving discrepancies.
Enrollment & Participation
- Eligibility and enrollment Screening participants against inclusion and exclusion criteria and enrolling them with entry dates and identifiers.
- Electronic consent Presenting, signing, versioning, and re-consenting participants electronically (eConsent).
- Participant portals A portal where participants complete tasks, see schedules, and interact with the study remotely.
- Longitudinal follow-up Structured long-term follow-up data collection beyond the core study window, including registries.
Medical Coding
- MedDRA coding Coding adverse events, medical history, and indications against the MedDRA dictionary.
- WHODrug coding Coding concomitant medications against the WHODrug Global dictionary.
- Coding workflow and autocoding Automatic dictionary matching, synonym lists, assignment, review, and dictionary version upgrades mid-study.
Randomization & Trial Supply
- Randomization Randomizing participants to treatment arms (RTSM/IWRS), with stratification and block designs.
- Blinding controls Keeping blinded data hidden from the wrong roles, with controlled and documented unblinding.
- Trial supply management Managing investigational product inventory, kit assignment, resupply, and expiry across sites.
Reporting & Analytics
- Reporting and dashboards Operational reports and visual dashboards: entry status, query aging, missing pages, and study progress.
- Custom reporting Building and saving custom reports and listings without vendor involvement.
- Enrollment and site metrics Tracking screening, enrollment, and retention against targets, by site and overall.
Safety Data
- Adverse-event data Capturing adverse events and serious adverse events with the fields expedited reporting requires.
- Safety reconciliation Reconciling the clinical database against the safety/pharmacovigilance database, including exchange formats such as E2B.
Standards & Interoperability
- CDISC standards support Alignment with CDISC standards: CDASH-based collection, SDTM export or mapping, and ODM import/export.
- Metadata and data dictionaries Machine-readable study metadata: variable definitions, codelists, and annotated CRFs.
- APIs and data import A documented programming interface and bulk import paths for reading and writing study data and metadata.
- Data export Getting data out: SAS, CSV, and Excel exports and bulk extraction for statisticians and external analysis.
- Statistical-system integration Connections to statistical environments: SAS transport files, R access, and analysis-ready extracts.
- Integrations Pre-built connections to other clinical systems: CTMS, eTMF, IRT, safety, imaging, and EHRs.
Study Setup & Design
- Protocol and study design Translating the protocol into a structured study definition: arms, visits, events, and data requirements.
- eCRF design Building electronic case report forms with a form designer: fields, layouts, coded lists, and conditional logic.
- Edit checks Programmed validation rules that fire during or after data entry to catch missing, inconsistent, or out-of-range values.
- Visit scheduling Defining visit windows, event calendars, and expected-visit logic, including unscheduled visits.
- Form and study libraries Reusable forms, standards-aligned libraries, and copying study structures from prior studies.
- Mid-study changes Amending forms, edit checks, and schedules on a live study, with versioning and controlled migration of existing data.
